Please read all the terms and conditions below before making any bookings.

Welcome to Epic Travels. By booking with us, you agree to the following terms and conditions. These are designed to ensure a safe, reliable, and “epic” journey for everyone involved.

1. Bookings and Pricing
  • Price Alterations: Epic Travels reserves the right to modify prices without prior notice. However, existing bookings will always be honored at the rate originally booked.
  • Accuracy of Information: It is the passenger’s responsibility to ensure all booking details (number of passengers, dates/times, destination addresses and flight no.) are correct. Please allow sufficient travel time to reach your destination.
2. Payments and Deposits
  • Payment Deadline: All payments must be settled by the day of your trip at the latest.
  • Return Transfers: For return airport transfers, the full amount must be paid in advance.
  • Deposits: To secure your booking, we require a deposit:
  • 10% for one-way trips.
  • 20% for return trips (or a set amount as agreed at the time of booking).
  • Non-Refundable Deposits: Deposits will not be refunded if:
  • The trip is cancelled without 24 hours’ notice.
  • Passenger limits are exceeded.
  • Excess luggage was not disclosed.
  • The passenger is a “No-Show” (see Section 3).
3. Waiting Times and No-Show Policy
  • The 20-Minute Rule: Drivers will wait for a maximum of 20 minutes at the designated pickup point.
  • Cancellation: If 20 minutes pass with no contact or appearance from the passenger, Epic Travels reserves the right to cancel the journey in full. This will be classified as a “No-Show,” and the driver will be released.
  • Late Drivers: If your driver has not arrived at the scheduled time, please contact our office immediately. We cannot offer compensation if you leave the pickup location without informing us first.
4. Airport Return Procedures
  • Pickup Process: Upon your return, please contact your assigned driver after you have collected your luggage and are ready for pickup.
  • Meeting Point: Your driver will meet you inside the terminal within 20 minutes of contact to escort you to your vehicle.
5. Luggage and Property
  • Allowances: We allow a reasonable amount of ordinary passenger luggage. Drivers may refuse items they deem to be of excessive weight or size.
  • Excess Luggage: If you have large or excessive luggage requirements, you must notify us at least 24 hours prior to the journey.
  • Liability: Epic Travels accepts no responsibility for loss or damage to any luggage or property carried in or on the vehicle, regardless of how the loss or damage occurred.
6. Service Standards and Liability
  • Vehicle & Driver Changes: We reserve the right to change your vehicle or driver at any time without prior notice if necessary.
  • Routes & Speed: Drivers will travel at a reasonable speed and use the route they deem best and most convenient at that time.
  • Delays: While we strive for punctuality, Epic Travels is not liable for missed tickets or delays caused by traffic conditions, roadworks, or mechanical breakdowns.
  • Uncontrollable Events: We reserve the right to cancel services and issue refunds in cases of extreme weather, fuel shortages, or other “force majeure” events.
7. Passenger Conduct and Safety
  • Alcohol & Behavior: For the safety of our drivers and passengers, alcoholic beverages are strictly prohibited in our vehicles.
  • Zero Tolerance: Abusive behavior toward drivers will not be tolerated.
  • Termination: Failure to abide by these rules will result in the immediate termination of the trip.
8. Important Legal Notices
  • Private Bookings: It is illegal to arrange private bookings directly with our drivers. Epic Travels takes no responsibility for any issues or insurance claims related to bookings not confirmed through our central office.
  • Contact Sharing: We will share your contact details with your driver (and vice versa) to ensure seamless communication.
  • Complaints: Please reach out to us directly with any concerns. Note that some calls may be recorded for quality assurance and training.
9. Discounts (Current Status)
  • Standard Return Discount: £10 off return airport transfers.
  • Blue Light/NHS: An extra £5 off for NHS and Blue Light card holders (Police, Fire, Ambulance) with valid ID.
  • Note: These offers are not currently available but will be honored once the promotion resumes.
